Importing Files and Printing
Presentation image
GOAL: Demonstrate proficiency in importing files into a PowerPoint slide show.
TASK:
Import digital images, other objects, and
video or sound clips into a PowerPoint slide show.
PRODUCT:
Focus on the requirements.
RESOURCES:
Getting Images
Types of Graphics
ASSESSMENT: See Peer Evaluation Form in Student Resources.

PROCEDURE:

Create a digital image--either a scanned image, a digital camera photo, or an image downloaded off the Internet--that will compliment your existing PowerPoint slide show. Save the image where you can find it later.

  1. Open your existing PowerPoint presentation, select View> Slide Sorter, and select a slide to insert the image into. You might want to make it the background of your title page.
  2. Change to Slide View by double-clicking on the slide or selecting View> Slide.

Insert a Digital Image

  1. Select Insert> Picture - From File. Locate the digital image you created and click Insert.
  2. Adjust the size of the picture to fit the slide by dragging the control points surrounding the image.
  3. Change the font color of the text so that it is readable against your picture background.

Insert a File

Insert a new slide--choose a Blank slide.  Title this slide Family or Household. Experiment with inserting various objects.

  1. Explore the Insert menu selections.  Choose Chart or Table, or in Insert> Picture, choose Organization ChartUse one of these choices to show information about the members of your family or household--names, relationships, ages, etc.
  2. Explore Insert> Movies and Sounds.  Include a video or sound clip from the Microsoft Gallery or your own files.  You may add this to an existing slide or a create a new slide, a sub-topic of one or your other slides.

Print Options

  1. You may have noticed that there is no Print Preview button on PowerPoint's standard toolbar. The Print button in the standard toolbar should be avoided! There are several choices in File> Print, but you can't preview there, either.  It's best to know your options so you can avoid wasteful printing.  Study the lower section of the Print dialog box:

    PPt Print menu options

  1. In Print what: the dropdown menu offers 4 choices:
    • Slides requires the most printing--one slide fills each page; all of your slides will print unless you specify Current slide or Selection in Print range.  Why would you need this?
    • Handouts lets you choose how many slides will print to a page, and a small visual shows how the page will look.  To print a note-taking handout to give your audience, 3 Slides per page works well.
    • Notes Pages prints one slide on the upper half of a page, and, in a large lower box, prints any notes you've added while preparing your slides.  This can be helpful to use when you present.
    • Outline View prints the complete outline of the titles and text on your slides, with no slide images.
  2. Important: to avoid wasting printer ink, check the box for either the Grayscale or Pure black and white. (Not necessary for Notes Pages.)  If neither box is checked, dark backgrounds on your slides will print, and in addition to wasting ink, this can cause slide text to be hard to read.
  3. Print as directed by your teacher.

Prepare to turn-in

  1. Proofread, and make sure your links, buttons, and frames are visible during the actual slide show.
  2. Keep the presentation simple. You will get a chance to be creative on the next project.
  3. Save the presentation on your H: drive.
